PMA Ambassador, Part time, On-call

Under the general supervision of the Visitor Experience and PMA Store Manager, responsible for providing exceptional visitor experience with a thorough understanding of Portland Museum of Art (PMA) information while selling admission, memberships, and PMA product; promoting programs and events; and providing information and customer service support. Supports PMA goals of building audiences, developing and strengthening constituent relationships, and maximizing revenue.

Essential Job Functions: 
  • Demonstrates a positive and professional attitude to promote the best of the PMA through responsive and accommodating visitor service in person, by email, and over the phone. Fields calls and approaches visitors and patrons proactively, engaging them in a friendly and helpful manner in order to best determine their needs, resulting in positive visitor experiences and optimal sales.
  • Proactively promotes PMA membership with each call and visitor transaction in processing admission and merchandise sales as well as event, tour, and program registration and ticketing. Responsible for accurate collection of visitor data and transactions to strengthen the PMA’s fundraising and constituent database.
  • Comprehensively addresses in-person inquiries; questions about PMA merchandise, membership, and policy; and incoming phone or email correspondence with consistent and accurate communication of museum information. Demonstrates the ability to seamlessly transition between PMA Store, Konkel Family Welcome Center, and call center assignments depending on workflow. Responds to visitor requests and questions and serves as an operator, directing calls and emails to appropriate staff and/or extensions.
  • Operates equipment including computers, point of sale terminals, tablets, and switchboards to process all transactions including sales, refunds, returns, exchanges, gift purchases, and PMA memberships. Effectively shares patron feedback with focus on relationship building and enhancement of museum-wide communications.
  • Goes above and beyond to ensure visitor satisfaction and advocate museum exhibitions, membership, the PMA Store, the PMA Café, and programming including PMA Films, tours, lectures, workshops, Winslow Homer Studio tours, and other special events or collaborations.
  • Attends meetings and training to stay informed about PMA information including website content, marketing and promotions, social media, department calendars, and internal communications, to represent the museum as a knowledgeable ambassador.
  • Assists with museum security by explaining and monitoring PMA regulations, authorizing or denying admittance of packages and other items, resolving visitor issues, promptly reporting public safety situations, and assisting with crowd control.
  • Maintains museum standards of cleanliness by cleaning, organizing, and tidying public spaces on a daily basis. Performs routine clerical functions as assigned, such as marking prices on items for sale, and other routine tasks.
  • Fosters relationships and builds philanthropy with patrons at the PMA, as defined by displaying behavior that welcomes all individuals contacted during work. This may include answering questions, utilizing approachable body language such as smiling and making eye contact, thanking people for visiting the PMA, and other open and engaging behavior daily.
  • Supports the PMA’s strategic goal to advance a culture of inclusivity and diversity.
  • Performs special projects and other related duties as required, directed, or as the situation dictates.
  • Complies with all PMA safety rules and procedures.
  • Regular attendance at the workplace is required.

Education and Experience: 
High School diploma or equivalent with one to three years of customer service and/or retail experience.

  • Ability to communicate and work effectively with staff, volunteers, and visitors; to exercise tact and diplomacy at all times; and to represent the museum in a positive and professional manner.

  • Ability to establish, maintain, and foster positive and harmonious working relationships with coworkers and a variety of individuals contacted in the course of work.
  • Ability to operate computers, tablets, phone system, and assigned software.
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to work evenings and weekends as required.
  • Ability to attend department meetings and trainings as required.
  • Physical ability to stand for extended periods of time.
  • Ability to pass a criminal background check.
Working Conditions: 
  • The majority of work is performed in a museum setting, at the admissions desk, in the PMA Store, or in a normal office environment not subject to extremes of noise, temperature, odor, etc. Operates computer, mobile technology, switchboard, scanner, printer, POS system, copier, credit card and gift card machine, calculator, and other office equipment. Work involves extended standing, sitting, computer use, and small muscle tasks. May also be frequently required to stand, walk, bend, and crouch for extended periods and to lift and move boxes and product. Requires weekend and evening hours.
Terms: 
The PMA Ambassador position is part time, temporary, hourly, non-exempt, employment-at-will position.
