Communications Manager

Under the general supervision of the Director of Communications and in collaboration with the External Affairs division staff, manages communication and design logistics using strong project management skills to ensure successful execution of all design projects and communications initiatives in support of the Portland Museum of Art’s (PMA’s) mission.

Essential Job Functions: 
  • Manages design and communications process and production for all of the museum’s print, digital, and multimedia material. Provides content coordination and internal communication for all PMA publications including the members magazine, Inside the Circle, as well as project management for fundraising and membership materials and communications. In collaboration with the Exhibitions Manager, coordinates exhibition design and other exhibition materials.
  • In collaboration with the Director of Communications and the Communications Assistant, manages website, social media, and email communications to maximize audience impact and engagement. Integrally engages with online conversation and adapts it to the onsite experience, and actively monitors social media platforms to identify trends and manage content.
  • Provides process and support for the writing and editorial process in collaboration with the Brand Manager for all PMA communications including content development, editing, and text production, to ensure professional quality and conformance to the PMA’s brand charter. Administers systems to ensure no product is designed, printed, or displayed without appropriate editing for content and style.
  • Maintains intra-departmental communication for all matters related to design, communications, and logistics.
  • Contributes to the development, ongoing maintenance, and museum-wide communication and adherence to PMA brand charter and style guide; implements systems to ensure quality and consistency in all PMA materials.
  • Assists with and coordinates dissemination of marketing and communications materials in collaboration with the External Affairs Assistant.
  • Develops tracking and evaluation systems to measure and evaluate efficient and effective use of resources toward accomplishment of established goals.
  • Fosters relationships and builds philanthropy with patrons at the PMA, as defined by displaying behavior that welcomes all individuals contacted during work.
  • Supports the PMA’s strategic goal to advance a culture of inclusivity and diversity.
  • Performs special projects and other related duties as required, directed, or as the situation dictates.
  • Complies with all Portland Museum of Art safety rules and procedures.
  • Regular attendance at the workplace is required.

Education and Experience: 
Bachelor’s Degree in a related field with at least three years of experience in office management, communications, and new media engagement as well as organizational excellence.
Qualifications: 
  • Ability to strategically organize, process, and maintain work flow; identify inefficient and ineffective processes; and implement improvements.
  • Ability to multitask, organize work, and meet deadlines with careful attention to detail in a fast-paced, collaborative environment.
  • Mastery of working in a collaborative environment with demonstrated ability to manage processes that include influencing leaders within the museum.
  • Ability to shift gears comfortably and can act without having the total picture.
  • Excellent command of verbal and written language including ability to write, present information, wordsmith, and adhere to PMA brand charter and style guide.
  • Ability to establish, maintain, and foster positive and harmonious working relationships with coworkers and a variety of individuals contacted during work.
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to operate computers and assigned software, including Microsoft Office, Excel, database applications, production management software such as Basecamp; fluency in design software including Adobe Creative Suite and Adobe Acrobat Pro is a plus.
  • Excellent office management skills with considerable knowledge of office practices and procedures.
  • Ability to pass a criminal background check
Working Conditions: 
  • The majority of work is performed in a museum or gallery setting or in a normal office environment not subject to extremes of noise, temperature, odor, etc. Operates computer, printer, photocopier, scanner, and other office equipment. Work involves extended sitting and computer use. Occasional local, regional, or national travel may be required.
